Add or remove seats

Buy extra full seats, schedule reductions at renewal, and decide what happens to a seat when someone leaves. Card payments are prorated; PayPal changes apply from the next billing cycle.

Change how many full seats your account pays for as your team changes. Seats are shared by all your workspaces: one person uses one seat, however many of your workspaces they're in.

Before you start

  • You must be the account owner (the person who owns the workspaces and pays). Admins of your workspaces don't see or change the owner's billing.

Add seats

  1. Open Settings → Billing → Seats.
  2. Increase the number. You'll see the new monthly total, e.g. "USD 39.00 → USD 49.00 per month, plus applicable tax".
  3. Confirm.
    • Card (Stripe): the added seat is prorated — you pay only for the rest of the current period — and becomes available once payment succeeds.
    • PayPal: you approve the change in PayPal. PayPal doesn't prorate, so the change applies from your next billing cycle.

Remove seats

  1. Lower the number of seats.
  2. Reductions take effect at your next renewal. You keep the seats until then.
  3. You can't schedule fewer seats than are in use; if you try, we show who would lose editor access at renewal so you can decide.

There are no automatic refunds for seat reductions; the change applies from the next billing period.

When someone leaves

When you remove a full member, choose:

  • Release this seat at renewal — billing goes down next period, or
  • Keep seat available — so you can invite someone else without paying more. Removing a member never silently changes your bill.

Common problems

  • "No seats available" when inviting. Add a seat first, or invite the person as a free guest.
  • My reduction didn't lower this month's invoice. Reductions apply from the next renewal.
  • I'm an admin and can't see Billing. Billing belongs to the account owner. Ask them to add the seat.
